Open-Xchange Migration

We’re delighted to announce that we’re upgrading our email service for all of our clients to a state of the art business class IMAP service through Open-Xchange.

Open-Xchange are a world leader in IMAP email hosting solutions and power some of the biggest email providers across the globe.

There is no charge to upgrading and we’ll take care of the migration, ensuring zero down time and absolutely no email losses.

We are aiming to migrate all of our clients over before the end of 2024, but appreciate this is a big undertaking, so we wanted to provide as much information on how it works and what to expect during the migration.

Migration Process. How it’ll work:

1 - Mailbox Passwords Reset

We will start by resetting all your existing email passwords and creating your new email accounts with OX using the same, newly reset password. This new password will be sent to you via SMS.

2 - Submit New Passwords

Once you have your new passwords, you must update your existing email accounts on all your devices, as they’ll require the new passwords to continue working.

3 - Migration Begins

We will now begin the process of migrating your emails & folders from your current mailboxes, over to your new mailbox(es) with OX. This can take 1-2 days to complete.

4 - Remove & Add Accounts

Now the migration has completed, your domain is updated so your new OX emails start to work. As such, you must remove your existing email account(s) and add on your new Open-Xchange email account(s) to all your devices immediately.

5 - Final Migration Pass

When we know the new emails are live and working, we’ll do a final pass on the old mailboxes to make sure nothing was missed.

6 - Complete & Delete

Time for you to test all your emails are in your new inboxes and to check that you can send & receive normally. Now the migration has finished, we will delete your old email accounts so please be sure everything has moved over.

The only 2 things to be aware of when migrating to OX:

  1. We cannot migrate your previous Rackspace Webmail based Address Books. If you use Webmail regularly and need to retain the address book you have, we recommend migrating it when we’re working on Step 3.

  2. The Open X-Change migration will not migrate existing email forwarding that is set up on your previous Rackspace email accounts. For more information on how to keep your forwarding, see the Setup Forwaring guide below.

Rackspace have been a brilliant supplier to us for the last 20 years, but in recent times we’ve felt their reliability has reduced and as such, our ability to provide our clients with a robust and secure IMAP email service has suffered as a consequence. We felt we had no choice but to find a newer, better solution for our clients.

We will update your domains MX Records as part of our migration process. If we don’t have direct access to your domain, we’ll ask for it when the time comes.

If you no longer use your email service with us, let us know and we’ll just delete your old accounts and won’t need to migrate you over.


Will you migrate my Email Contacts/Address Book?

No. But you can! Email contacts and address books will remain inside your Mail Clients, like Outlook, Mac Mail, Thunderbird etc. ready for the new email accounts to use, but for those wanting to retain their Webmail contacts, you will need to migrate them manually.
